Rehearsal Letter - 17 Feb 08
THE SHOW
Firstly I would like to aplogise for the problems with ticket sales over the last week or so. We require a licence from Suffolk Coastal District Council to perform the shows and the licence restricts the event to a total attendance of 499 people. This means that with around 280 in the cast and the backstage helpers then the audience for each performance will have to be limited to 200. In an effort to ensure that all families get a chance to see one of the performances we are now limiting sales to 4 tickets per family for the next two weeks. If there are tickets left on 2nd March then they will be available on a first com frist served basis. Alternatively from 24th Feb tickets will be available to watch the dress rehearsal as well.
REHEARSALS
THE SHOW is now only a couple of weeks away and will be at BT's Adastral Park. To put on the best show possible it is important that everyone attends all the remaining rehearsals, which will now be at Adastral Park. It is a huge task to co-ordinate all the participants so apologies if we do not appear to be as well organised as you would like.
To gain access to Adastral Park your child will need an orange pass card bearing the Kapers logo. On the reverse of this there is a map indicating the location of car parks and the theatre. These are available from your section leader and must be completed with your child’s name and the section they belong to ie 1 Brownies, Cubs, Beavers etc. The Pass should be shown at the gate and should enable you to gain access to drop off your child. Please ensure that the pass is then taken home for you to gain access to collect your child otherwise we will have to walk your child to the gate for collection. There is a mobile number on the pass which is my personal telephone and this will be available at rehearsals for any queries about security and entry. Please note that if you do not have a pass and cannot contact me on my mobile number you will be turned away at the gatehouse.
This passcard only entitles you to access to the car parks indicated on the map and the theatre. If you work at BT and wish to go to other parts of the site using your BT passcard you need to make prior arrangements with security if you wish to take anyone else with you. Obviously we are not encouraging this and responsibility for these people then rests with you not with the Scout and Guide association. We wish to keep our good relationship with the site for future use not only for ourselves but also other organisations so your co-operation would be appreciated.
The following dates are a must for everyone – please ensure you have learned your words by now.
- Sun 24 Feb First Half of Show Adastral Park 1.45-5 pm
- Sun 2 March Second Half of Show Adastral park 1.45-5 pm
First Half – Rainbows, Beavers, Cubs, 2 Brownies, 4 Brownies, Scouts (contagious diseases), Rangers
Second Half – Choir, Cubs (camp fire), Scouts (Water),1 Brownies, 3 Brownies, 2 Guides, 1 Guides,Explorers
(Please do not bring drinks and snacks – these will be provided. Section uniform need not be worn but costumes may be needed).
- Sun 9 March Full Dress rehearsal Adastral park 1.45-5 pm
- Tue 11 Mar Technical rehearsal Adastral Park 6.15-9.30pm
- Fri 14 March Dress rehearsal Adastral Park 6.15-10.00 pm
- Sat 15 March Show (2 pm and 7 pm) Adastral Park 1.15pm and 6.15pm
- Sun 16 March Show (2 pm) Adastral Park 1.15pm
COSTUMES, UNIFORM, WOGGLES ETC
For the show, black/white school plimsolls should be worn by those who have them - or very soft shoes to minimise the noise behind the curtains. Jewellery and chewing gum are banned for obvious reasons. The majority of the show will be performed in your normal section uniform and you will be informed if anything else is required. You will need to wear your uniform for the dress rehearsal on Sunday 9 March and Friday 14th March, as the photos will be taken.
Every child should arrive for the show in their uniform. Where there are combinations of uniform the leaders will let you know the preferred options.
If your child has a costume then please could you bring the costume on a named coat hanger. Your section leaders will advise you of costume needs
The cast will need to wear some make-up (including the boys); this should comprise foundation, lipstick and blusher. It would be a great help if all children could be made up at home using your own make up where possible. If you have any problems (eg you don't have the makeup or your child is allergic to certain products) then please let your section leader know.
Last time we did the show every member of the cast had a red woggle to wear and we would like to repeat this tradition. Many of the woggles were collected but if you still have a woggle tucked away, can you look it out, so that we only have to supply more to the new members of the cast.
We will run a draw at each performance to help raise funds for the show to cover costs of the show including costume hire etc and any donations of draw prizes would be gratefully received.
PARTY
We are arranging a party on 19 April as a thank you to everyone for the hard work put into the show. Details will follow later
I am aware that there is a lot in this letter but I have tried to give you all as much information as possible to help you plan for the next few weeks. The show involves a lot of commitment and cooperation of a lot of people, but the end result is always worth the effort and a lot of people have a lot of fun and gain a lot from the experience.
